Guide to Study Abroad
Sweet Briar women have been studying abroad since the 1930’s. Today, the commitment to international education continues to be an integral part of our academic life. This is due not only to the presence of returning students who share their experiences but also to a growing presence of international students on our campus who have chosen to pursue their studies in the United States. Last year, over 70 students studied abroad.
As we do our utmost to assure international students a satisfying intellectual and cultural life while on our campus, we offer Sweet Briar students going abroad the best available opportunities for academic and cultural enrichment. We hope you will give first consideration to the Sweet Briar College programs–Junior Year in France and Junior Year in Spain–as well as to programs with which we have direct exchanges–University of St. Andrews in Scotland; Heidelberg University in Germany; University of Urbino in Italy and Doshisha Women’s College in Japan. Students are also encouraged to look into new programs that fit their academic needs and career goals.

Where and How Can I Study Abroad?
Sweet Briar students may study abroad throughout the world in countries that do not have a U.S. State Department Travel Warning. Things to consider are major, career goals, languages spoken and those you would like to begin learning. Virtually every country has programs where you can study in English or in the language of the country. It is important to always learn the language of the country you are visiting while you are there, even if most of your other coursework is in English.
WHAT SHOULD I CONSIDER
IN CHOOSING A PROGRAM?
The first question that a student interested in study abroad must ask is how this plan will fit into her academic program at the College. It is important that the student talk with a faculty advisor, preferably in her proposed major(s), about the components of her concentration, and the advantages or disadvantages study abroad might afford. Students should examine what they hope to accomplish through study abroad in terms of personal as well as academic interests.
There are several factors to consider in choosing a study abroad program:
1. The curriculum is the most important consideration for most students who will use their time spent overseas toward the fulfillment of degree requirements at the College. Review the course offerings thoroughly with the Director of International Studies and your faculty advisor. Determine if a program has a sufficient variety of courses to enable you to meet degree requirements. Be certain that your academic preparation is sufficient to meet the program’s academic prerequisites.
2. The quality of the program is critical to a student’s academic success and personal happiness while overseas. Not all colleges and universities, which offer programs overseas, have the same academic standards as Sweet Briar College. You should look for programs that are somewhat selective in their choice of participants. Sometimes this may present problems because of your own grades, but in the end it is likely to be a more satisfying experience academically.
3. The structure of the program should be considered. How is the program organized? In general, it is more interesting and profitable to study in a foreign university classroom than in a program that merely transfers the home campus to an overseas location, i.e., the “island” program. If you wish to study abroad for a semester, however, this may be difficult as most overseas university systems are on different academic calendars from our own. Evaluate your preferences and specific needs for support services, etc.
4. The style and content of courses at most foreign universities should be considered. Most overseas students enter their university at a more academically advanced level than American students when they enter college. For this reason, students should be certain that they know what types of prerequisites are assumed by the foreign university. Your studies will likely be more focused on one (or two) disciplines. The variety of courses a liberal arts degree offers may not be duplicated overseas.
5. The geographic setting of the program must be considered, because you will be living at this university for up to eleven months. You must decide between urban or suburban, large or small university, residential campus or commuter campus, etc. In this respect, your thinking may be very similar to the distinctions you were making in selecting Sweet Briar College over another college or university.
6. In choosing a developing country site for a program, you should consider participation in a sponsored program, rather than direct enrollment. The ease of acclimation to your new environment as well as the ease of transfer credit is often facilitated more readily through sponsored programs.
7. The support services in foreign universities are often less than they are at an American college or university. For this reason you must think about your resourcefulness, willingness to be adventurous, and ability to adapt as you select a program. You may desire support services available to you in the form of a Resident Director, housing coordinator, etc. Others may wish to be independent during the year abroad. Self-examination is important when it comes to determining how resourceful you are, as well as how readily you will face new challenges.
8. The housing provided by the program will be important to your consideration of a program. Is assistance provided pre-departure or on-site? Do you have numerous options, or only one choice? Do you want to live in a resident hall, with a family (homestay) or in an apartment during your time abroad? You may not have a choice in the type of housing provided by the program, but you should consider your preference and the benefits of each as you read through program brochures.
9. It is preferable to choose a program with a US school of record. This means that the program will provide you with a transcript from a US institution. It can be difficult to get extra copies of transcripts from institutions abroad and you may need these for graduate school and job applications. In some case if your transcript is from an institution abroad, you may also be required to have your transcript evaluated by AACRAO upon your return at your expense. Always ask your program if they have a US school of record and if not, please come discuss your options with the Director of International Studies. In all cases, acceptance of transfer credit is determined by the registrar.
This list represents the primary considerations to keep in mind as you read through program brochures. Make an appointment with the Director of International Studies to review your preliminary program before you apply.
Sweet Briar College normally requires a 3.0 cumulative average for study abroad. In addition, a student should have a 2.7 GPA for the term preceding her study abroad. If these criteria are not met, students may be at a disadvantage for successful completion of their academic requirement abroad. They should consult the Director of International Studies, their academic advisor and the registrar to determine the viability of any study abroad plans.
A student should normally have a 3.0 GPA in order to transfer any Sweet Briar College grant money to the Sweet Briar College programs in France and Spain & the Scotland, Germany and Italy Exchange Programs.
Any students wishing to study abroad as a sophomore or senior must consult with their academic advisor and submit a special petition to the Dean the College’s Office in Fletcher Hall.
HOW DO I FIND THE “RIGHT” PROGRAM?
The following resources are available to assist you in making the “right” program choice:
1. THE OFFICE OF INTERNATIONAL STUDIES is the primary resource available at the College for students who wish to study abroad.
Program representatives come to campus throughout the year to discuss general as well as specific study abroad programs. Keep an eye out for them in the Atrium of the Prothro Dining Hall. Visit with as study-abroad representatives to receive first-hand information about their specific programs and to ask questions which most affect you. In addition to these meetings, the Office of International Studies sponsors Study Abroad Information Sessions throughout the school year.
2. FACULTY RESOURCES: Another source of information on study overseas are SBC faculty members who have studied or taught abroad. Even if a professor has not mentioned knowledge of international programs, you should ask them about study abroad opportunities in their field. They probably will know of various programs they would recommend. It is important that you have a clear picture of academic requirements at the College, and how your program abroad may/may not fulfill those needs. Speak with major advisors in all of the majors you are considering. This will give you a better understanding of how major requirements will affect your study abroad plans.
3. STUDENT RESOURCES: Despite the fact that you have many institutional resources available, it is likely that most of the initial information you gain about study abroad will come from your peers. Students know what student concerns are and can address these directly. The enthusiasm of those who have studied abroad is “contagious”, and is clearly the best type of publicity that any program can get. Do keep in mind that each student’s experience is unique and will have positive and negative aspects.
The Director of International Studies keeps a collection of STUDENT EVALUATIONS of programs abroad available for your review. The collection is uncensored and unedited, and tries to be as broad as possible, so that you can sample a variety of opinions and programs. You may contact students who studied abroad during the previous academic year directly about their respective program.
GET TO KNOW THE EXCHANGE STUDENTS AND THE INTERNATIONAL STUDENTS; they will be eager to share their knowledge with you. Getting to know them will make it easier for you to reach out to the people in your host country next year.
4. ADDITIONAL RESOURCES: Most EMBASSIES will supply you with information on study, travel, and work abroad in their respective country. A collection of these materials is available in the Dean’s Office. You should direct your inquiry to the Educational or Cultural Attaché at the Embassy. It is very important to read US State Department Travel Warnings and Consular Information Sheets for your country of choice. These advisories offer important information on health and safety abroad. IMPORTANT INFORMATION IF YOU WANT TO STUDY ABROAD – PLEASE READ CAREFULLY
The Office of International Studies is the primary source of information for any questions regarding exit from or re-entry to Sweet Briar College. Many students who are going abroad for the first time are caught up in the excitement of travel and the anticipation of experiencing a new culture. While this enthusiasm and excitement are desirable and encouraged, a few administrative details must be completed to ensure a smooth transition.
You are responsible for submitting the required application materials directly to the study abroad program(s) of your choice. This includes application forms, letters of recommendation, transcripts, and parental consent forms. [Exceptions are materials for the University of St. Andrews and Doshisha Women's College.] You should apply to the programs as early as possible. Note: No Sweet Briar Scholarship applications will be considered without proof that you have applied to a study abroad program.
If you plan to participate in the Junior Honors program while you are away, you must consult with Julie Hemstreet regarding that program.
All students going abroad for any part of the academic year–semester or entire year–on whatever type of program MUST complete the following forms: Study Abroad Advisor’s Recommendation Form, Parental Consent/Statement of Insurance Form, Participation Agreement, and Proposed Courses Form.
You must keep the Office of International Studies informed of any changes of address during your time abroad. Failure to do this will hinder your participation in pre-registration and room selection.
All students who go on approved study abroad will be charged an administrative fee of $400 for one semester study or $600 for a full year of study. This fee may increase in subsequent years.
TRANSFER CREDIT EVALUATION
All students going abroad for an academic year or semester should contact the Registrar’s Office regarding current procedures for transfer credit evaluation. Students must seek out support services for securing pre-approval of transfer credit before going abroad. These steps are outlined in the Proposed Courses Form.
Transfer credit may be applied to the Sweet Briar degree requirements of 120 academic hours. Sweet Briar College faculty and the Registrar make all decisions about transfer of credits. Not more than 60 hours from other institutions will be allowed toward the 120 credit hours required for the Sweet Briar degree.
A student must earn a letter grade of C- or better in order for credit to transfer. Letter grades, however, do not transfer to the Sweet Briar College transcript. A student’s grade point average will remain unchanged by study abroad.
A student may receive up to 17 credits for the first semester abroad and 18 credits for the second semester abroad toward the 120 academic hours required for the Sweet Briar degree. REMEMBER: Students must enroll for a minimum of 12 credits per semester in order to be considered a full-time student. A maximum of 35 credit hours for satisfactory completion of a complete academic year’s work may be earned. The Registrar will determine exact amount of credit. These credits will be added to the SBC transcript upon re-enrollment to Sweet Briar College. In all cases the equivalent of a full Sweet Briar College workload must be taken.
It is the student’s responsibility to request that a transcript be sent from the abroad program to the Sweet Briar College Registrar’s Office.
When you consult with department chairs about transfer credit equivalencies, you should provide a catalog or descriptive information about the coursework abroad. Discuss thoroughly your academic program at Sweet Briar College, as well as abroad, so that if changes occur in course registration while overseas, you will be prepared to make an informed decision about changes in your program. The respective department chair, your advisor, and the registrar should approve any changes that occur while you are abroad. You can do this via email.
STATUS OF STUDENTS ABROAD
Students going abroad on an approved program of study are automatically sent information regarding registration and housing. (Please note that a student who takes a leave of absence is not automatically sent this information. It is her responsibility to write to the Dean of the College toward the end of her stay abroad stating that she intends to return to Sweet Briar College for the upcoming semester. At that point she will be sent information relating to registration and housing.)
OFFICE OF CO-CURRICULAR LIFE
The Office of International Studies forwards your name and overseas address to the Office of Co-Curricular Life. You are eligible to apply for campus housing while you are abroad. The staff in Co-Curricular Life is in direct contact with you and/or your parents regarding opportunities for housing upon your return. Any specific questions regarding housing, roommates, lottery, etc. should be directed to a member of their staff.
FINANCIAL AID and BUSINESS OFFICE
All students going abroad for the semester or academic year should check with the Financial Aid Office regarding what, if any, financial aid could be applied towards the cost of the study abroad program. The staff in the Financial Aid Office will be able to address specific questions. Sweet Briar financial aid can only be used for the SBC Junior Year in France and Spain programs and the St. Andrews, Heidelberg, and Urbino exchange programs. However, you may be able to use your federal aid for other programs and there are also study abroad scholarship competitions sponsored by on and off-campus sources. Please check with the Director of International Studies for the exact and current policy regarding financial aid for JYF, JYS, St. Andrews, Heidelberg and Urbino as these may be subject to change.
All students going abroad should check with the Business Office to determine if all bills, fines, etc. have been paid and your financial record is in good standing. Failure to pay fines or outstanding debts to College agencies could jeopardize your status.
ORIENTATION and INFORMATION PROGRAM
Plan to attend the Mandatory Orientation session sponsored by the Office of International Studies for students studying abroad. Held in November and April, many issues, such as passports, visas, international IDs, banking, insurance, cultural differences, safety and pre-registration will be discussed. You will receive more information about the orientation when you begin to submit your study abroad forms.
Before you leave your foreign study center, request that a transcript of your work be sent to the Registrar’s Office, Sweet Briar College, Sweet Briar, Virginia 24595. Approved credit will be transferred to the Sweet Briar College transcript upon re-enrollment to Sweet Briar College.
IF YOU TAKE ALL OF THE ABOVE STEPS, YOUR DEPARTURE AND RE-ENTRY TO SWEET BRIAR COLLEGE WILL BE MUCH SMOOTHER.

SWEET BRIAR COLLEGE
Sweet Briar College encourages its students to consider study abroad through one of its sponsored or affiliated programs. The following provides brief, descriptive information on each program.
SWEET BRIAR COLLEGE SPONSORED PROGRAMS:
Junior Year in France
Sweet Briar’s Junior Year in France was established in 1948. Approximately 100 students from 40 colleges and universities across the nation study in this distinguished program each year (for an academic year or semester).
A candidate is expected to have at least two years of high school French and two full years of college-level French, normally including an introductory literature course or culture course, by June of the sophomore year. The candidate should be studying French during the year prior to departure. A course in history, French or European, is also recommended. Minimum requirements include a “B” average both overall and in French courses. Recommendations from the Department of Modern Languages and Literatures and a major advisor are needed before a student can be recommended to the program by the Office of International Studies. Detailed information is available in the Sweet Briar Junior Year in France Office and in the Office of International Studies.
Junior Year in Spain
The Sweet Briar Junior Year in Spain is an intercollegiate, coeducational study abroad program. Students can enroll (for an academic year or semester) in two types of courses at the University of Seville: regular university courses in a wide range of fields and special courses for foreign students. Both are taught in Spanish by University of Seville faculty in the areas of language, literature, history, art history, economics, geography and Latin American studies. Minimum requirements include a “B” average in Spanish and a “B” minus cumulative average. Applicants must present the equivalent of five semesters of college level Spanish. The fifth semester or its equivalent should include an introductory literature class or equivalent. These requirements should be met by June of the sophomore year: study of Spanish during that year is highly recommended. Recommendations from the Department of Modern Languages and Literatures and the major advisor are needed before a candidate can be recommended by the Office of International Studies. Heidelberg University in Heidelberg, Germany
Students of German may study for the entire academic year in Heidelberg at Heidelberg University. The program seeks motivated, and responsible students with good academic records and provides them with an opportunity to live and learn in one of Europe’s oldest and most illustrious university cities. To be eligible for admission into the program, a student must have obtained at least junior status prior to entering the University. A cumulative grade point average of B or better is a prerequisite for full acceptance. In addition, at least two years of college or university-level German study or the equivalent is required. The University of Urbino, Italy
A student of Italian has the opportunity to study for the entire academic year in Urbino, starting at the end of September. Preferably this student should be an Italian major or minor. The student can enroll in any course(s) taught at the University. The University of Urbino has a wide spectrum of offerings, including languages, history, archaeology, sociology, psychology, ecology and the sciences. Since all courses are taught in Italian, students are expected to have completed two years of college-level Italian with excellent oral and written skills. University of St. Andrews, Scotland
Sweet Briar has had an affiliation with the University of St. Andrews in Scotland since the early l930s. Candidates for study at St. Andrews will be considered on the basis of the match between their fields of study and academic records, their capacity for independent work, and their maturity. Although students are advised to spend a full year at the University, St. Andrews is now offering single semester study abroad programs. Application information and forms are available from the Director of International Studies. Students must have a GPA of 3.0 or better to apply for this program. A maximum of 10 students can take part in this program; therefore, early application is encouraged! Students who receive a single at St. Andrews will pay the same increase in housing fee as those on campus.
Doshisha Women’s College of Liberal Arts, Japan
The Japanese Studies Program at Doshisha Women’s College was started in 1992. At present, it is a Fall semester program beginning in October and ending in mid-December. The program offers both language courses and courses in Japanese culture conducted in English. All students stay with Japanese families whose daughters attend the college. The campus is located midway between Kyoto, Nara, and Osaka and provides students with easy access to these major cultural centers. Sweet Briar Summer Program in France
Sweet Briar offers an intensive summer program in Paris, Franc – the City of Lights. The four-week home stay program entails intensive study in the Sweet Briar College Center at the Alliance francaise in the Latin Quarter. Excursions to the neighboring cities of Versailles and Tours, in addition to guided tours of castles in the Loire Valley, the Luxembourg gardens, the Louvre, the Orsay museum, and other famous Paris monuments, are included in the fee. Students who successfully complete the program receive four hours (two courses) or six hours (three courses) of Sweet Briar College credit. Open to college students who have completed and intermediate level of college French with a 2.75 GPA, and the recommendation of the instructor. For more information contact the JYF office.
Virginia Summer Program at Oxford
Sweet Briar is one of five Virginia colleges sending a select group of students to St. Anne’s College, University of Oxford, England for summer study. The program follows the English system, combining lectures and weekly tutorials conducted by the Oxford dons. The literature, history, and society of late 16th-and early 17th-century England is the central theme of both lectures and tutorials. The program is designed for rising seniors and juniors, though exceptionally qualified rising sophomores may be considered. All applicants are strongly urged to take background courses in English history and literature before applying. Applications are due March 1. Information may be obtained from Tony Lilly in the English Department.
Sweet Briar College Internship Abroad
Contact Person: The Director of International Studies
Summary: Students may earn SBC academic credit for participating in an internship abroad, provided they have faculty supervision and approval. For fall or spring semester, faculty sponsored internships; students are eligible for a proportionate amount of their SBC scholarships and financial aid, if they are billed by SBC for the internship credits. Please contact the Director of International Studies or the Financial Aid Office to learn more about this option
This is a wonderful opportunity so please read on for further information!
Since the number of internship credits may vary and a faculty member may also assign a student additional academic work in the form of an independent study project-there are a number of possible scenarios for internships abroad. Below are probably the two most common ones:
Scenario I: The faculty member is willing to supervise the internship for six internship credits.
Procedure: In this case, the student would pay Sweet Briar for six credits + the appropriate study abroad fee. She would complete academic assignments as outlined by the professor. The student would have to supply the Financial Aid Office with a full outline of cost for the room, board and incidental expenses abroad. The student would need to make up 6-9 credits in summer school in order to stay on target for graduation. Like with other study abroad programs, if the student has advisor approval, a 3.0 and submits appropriate forms to the Office of International Studies, she would automatically be on approved study abroad. A student with a GPA below 3.0 would have to seek special approval by the International Studies Advisory Committee. The student would also have to submit all appropriate internship forms to the Dean’s Office and Career Services.
Scenario II: The faculty member is willing to supervise the internship for six internship credits and an additional six – nine credits for independent study (which may include private language tutoring abroad).
Procedure: In this case, the student would pay full Sweet Briar tuition charges + the appropriate study abroad fee. She would complete academic assignments and language test as outlined by the professor. The student would have to supply the Financial Aid Office with a full outline for the room, board and incidental expenses abroad. Like with other study abroad programs, if the student has advisor approval, a 3.0 and submits appropriate forms to the Office of International Studies, she would automatically be on approved study abroad. A student with a GPA below 3.0 would have to first be approved by the International Studies Advisory Committee. The student would also have to submit all appropriate internship forms to the Dean’s Office and Career Services.
Financial Aid: What portion of SBC scholarships and financial aid would be available to each of the above students?
Scenario I: Provided the student has advisor approval, is on approved study abroad and the credits she earns in the internship originate from and are billed by Sweet Briar, as well as apply toward her graduation requirements, the student would be eligible for financial aid. The six-credit student would be classified as half time. Sweet Briar merit and need scholarships would be prorated at 50%, but could not exceed the 6 credit tuition amount billed by Sweet Briar. She would also have the possibility to borrow the half-year Federal Direct Loan amount if otherwise eligible to help cover room, board and incidental expenses abroad.
Scenario II: Provided the student has advisor approval, is on approved study abroad and the credits she earns in the internship and independent study originate from and are billed by Sweet Briar, as well as apply toward her graduation requirements, the student would be eligible for financial aid. The student could use her full SBC merit and need grants, but this amount could not exceed the tuition amount billed by Sweet Briar. She would also have the possibility to borrow the half-year Federal Direct Loan amount if otherwise eligible to help cover room, board and incidental expenses abroad.
Many programs have scholarship money available to study abroad with their own particular program. Students should contact each program directly for information and applications. Students are also encouraged to explore other sources of funding. Federal and state grants and loans, such as the Pell Grant and Stafford Loan, are often made available for study abroad. Residents of Virginia may also be eligible for the Tuition Assistance Grant Program though this is very limited. If a student is currently receiving need-based financial aid, she should contact the Financial Aid Office concerning procedures required in order to obtain aid. Sweet Briar financial aid may be used by students to pursue studies in the Sweet Briar Junior Year in France and Spain programs and to some extent at St. Andrews, Urbino and Heidelberg.
The College offers a number of scholarships for study abroad. Students only need to submit one application and they will be considered for all of the scholarships below, as they relate to the student’s specific program.
JUNIOR YEAR IN FRANCE
In order to qualify for direct grants from the Junior Year in France, students should contact Dr. Scouten in the Junior Year in France Office for complete information.
JUNIOR YEAR IN SPAIN
Limited and highly competitive scholarship funds are available. For detailed information contact Dr. Lynn McGovern, Junior Year in Spain Office.
THE HELEN SMITH DAVENPORT ENDOWED SCHOLARSHIP FUND
Purpose: This fund establishes a merit scholarship in memory of Helen Smith Davenport, Class of 1957, to provide an opportunity for highly qualified sophomores, unable to consider study abroad during the junior year without financial support from Sweet Briar to study one academic year under the auspices of the following programs: SBC Junior Year in France, SBC Junior Year in Spain, and the University of St. Andrews. This scholarship is designed to help at least one student further develop her sense of our global community and encourage her to share her experiences upon her return to Sweet Briar for her senior year. Application deadline will be in February. A 3.3 minimum GPA is required. For information and application guidelines, contact the Director of International Studies.
THE ANNE LAUMAN BUSSEY ’37 ST ANDREWS SCHOLARSHIP
The scholarship covers costs associated with a year at St. Andrews, particularly in situations in which a highly qualified Sweet Briar student might find it necessary to decline study at St. Andrews due to cost.
MR. AND MRS. A. MARSHALL ACUFF INTERNATIONAL SCHOLARSHIP
This scholarship fund was established as an endowed fund to support international experiences for Sweet Briar students. U.S. citizens who are either International Affairs majors or who have an interest in pursing careers with an international dimension are eligible to apply. This is a competitive scholarship with a set award of $5,000. There are
no specific country requirements for eligibility to apply for the scholarship. Please contact the Director of International Studies for more information.
MILAN HAPALA SCHOLARSHIP
The family of Milan Hapala has created this scholarship in his memory and for the benefit of future Sweet Briar College students. This scholarship will be awarded by the members of the Government Department to a junior who is majoring in International Affairs or in Government. It is to be used for study in the Czech Republic.
JUNIOR YEAR MERIT SCHOLARSHIP AT THE UNIVERSITY OF URBINO
A student of Italian has the opportunity to study with a merit scholarship for the academic year in Urbino, beginning at the end of September. The scholarship includes a six-week training session in Urbino followed by the regular academic year at the Italian University.
To be eligible for the scholarship the student needs to have completed at least two years of Italian with the highest grade point average in her class, and have reached a very good understanding of oral and written Italian. Italian majors or minors are given first priority. For more information concerning the terms of the scholarship, contact the Director of International Studies. JUNIOR YEAR TUITION SCHOLARSHIP AT HEIDELBERG UNIVERSITY
A student of German has the opportunity to study with a merit partial tuition scholarship for the academic year at the University of Heidelberg, Germany. To be eligible for the scholarship, the student must have completed at least two years of college German and have reached a good understanding of oral and written German.
